Role Description:

Adventist Schools Victoria is seeking to employ an organised and proactive Executive Assistant/Office Manager. This is a full-time role for an immediate start.

The Executive Administrator provides high-level administrative and organisational support to the Chief Executive Officer (CEO), Associate Chief Executive Officer (Associate CEO) and Early Learning Regional Manager (ELRM). The role is responsible for coordinating meetings, documentation and communication, and ensuring the efficient operation of the Education Company.

This role includes preparing meeting agendas and minutes, coordinating logistics and travel, managing calendars and correspondence, and maintaining efficient electronic filing systems. You will support ELC and OSHC teams with administrative enquiries, assist with grant and regulatory submissions, compile reports and annual data, and help plan key events such as the annual teachers’ conference. The role also involves managing office supplies, providing reception cover, and delivering responsive administrative assistance across the organisation. This position suits a detail-focused professional who thrives in a fast-paced, service-oriented environment.

Application Requirements:

The successful applicant will:

  1. Hold a Certificate IV or equivalent in a related discipline and/or 3+ years’ experience in a similar role.
  2. Demonstrate competency in MS Office Suite, IBM Notes, and web-based software including G Suite.
  3. A strong understanding of the SDA School System is desirable.
  4. Previous experience in the education sector is an advantage.
  5. Must hold a valid Working With Children Check (Employee).
  6. Have a high level of discretion and confidentiality.
